1.1 This Policy applies to visitors of colibit.co, people who contact us, and Users of the Colibit platform at app.colibit.co.

1.2 Colibit is the controller (responsable del tratamiento) of the personal data described in this Policy. You can reach us at hola@colibit.co.

1.3 When a Customer uploads contracts or other documents to the platform, the Customer is the controller of the personal data in them and Colibit acts as its processor (encargado del tratamiento). Questions about that data should go to the Customer first.

2.3 Usage information - the actions Users take in the platform, which we keep as an audit record, and technical logs such as IP address, browser type and time of each request.

2.4 Communications - the emails and messages you send us.

2.5 We do not use advertising or analytics cookies or trackers on this website (see the Cookie Policy). Please do not send sensitive personal data through our forms.

3. How We Use Your Information

3.2 To create and manage accounts, and to provide, secure and maintain the platform.

3.3 To keep the audit record that our Customers rely on: who did what, when and why.

3.4 To send service notices and, only if you agree, product updates (you may opt out at any time).

3.5 To comply with legal obligations and protect our rights.

3.6 We do not use Customer content to train AI models unless the Customer has expressly agreed.

4. Your Authorization

4.1 When you send a form or use the platform, you authorize Colibit to process your data for the purposes in this Policy, as Ley 1581 de 2012 requires (prior, express and informed authorization). You may revoke it at any time, unless a legal or contractual duty requires us to keep the data.

4.2 You are free not to provide data. If you do not, we may be unable to answer you or to provide the service.

5. Sharing of Data

5.1 Colibit does not sell personal data.

5.2 We use service providers (encargados) for website hosting, email delivery, domain and network services, cloud infrastructure and AI models. They act on our instructions under contracts.

5.3 The e-signature platform a Customer chooses receives the data needed to carry out a signature.

5.4 Data may be disclosed where required by law, regulation or court order.

5.5 Some providers process data outside Colombia, including in the United States. We transfer data only where the Superintendencia de Industria y Comercio (SIC) recognizes adequate protection or another legal basis in Ley 1581 de 2012 (art. 26) applies, and we sign transmission contracts with our processors.

6. Data Retention

6.1 Personal data is kept only as long as necessary for the purposes above, to comply with legal requirements or to resolve disputes. Messages sent through our forms are kept as long as needed to answer and follow up.

6.2 You may ask us to delete your data (see section 8).

7. Security

7.1 Colibit applies technical and organizational measures to protect personal data against unauthorized access, loss or misuse, including keeping each Customer’s data separate from every other Customer’s and recording access to the platform.

7.2 No system is completely secure. Users are responsible for safeguarding their own login credentials.

7.3 If a security incident affects personal data, we will notify the SIC and the people affected as the law requires.

8. Your Rights

8.1 Under Ley 1581 de 2012 you have the right to: know, update and correct your personal data; ask for proof of the authorization you gave; be told how your data has been used; revoke your authorization and ask for deletion when no legal or contractual duty requires us to keep the data; access your data free of charge; and file complaints with the SIC.

8.2 To exercise these rights, write to hola@colibit.co with your name, your identification and what you ask for.

8.3 We answer queries within 10 business days and claims within 15 business days. If we need more time we will tell you why and when, within the extensions the law allows (5 and 8 business days).

Colibit is software for contract management. It is not a law firm and does not give legal advice. Its agents prepare, check and track contract work; decisions, approvals and signatures are always made by people at your organization, within the authority registered for them in Colibit. Nothing on this website or in the product replaces the judgment of a qualified lawyer.

Access to the Colibit platform is subject to our Terms of Service and Privacy Policy. Personal data is handled under our Privacy Policy and Colombian data protection law (Ley 1581 de 2012), and each organization’s data is kept separate from every other organization’s.

Colibit’s agents read documents and write text with the help of AI models. Their work is checked by the rules your legal team sets, and every action is recorded in the contract’s history. Like any AI-assisted work, outputs can contain mistakes: a qualified person must review them before anyone relies on them.

Electronic signatures are carried out through third-party signature providers. Colibit never signs on anyone’s behalf, and a document can only be sent for signature after the people with the right authority have approved it. Integrations with other services are provided as they are, and their availability depends on those services.

Descriptions of Colibit on this website show the product as it is being built, and features and availability can change or vary by plan and country. For questions about the platform, licensing or your data, write to hola@colibit.co.
